To protect the data of the fans, the contact details of those who have not given marketing consent are masked everywhere in the console. When you need to contact a person for an operational reason (change of time, problem with the ticket, cancellation) you can unlock the single detail with an explicit confirmation; the unlock is tracked in the system logs.
At a glance
- Where: everywhere the Hidden value appears with the padlock icon: the Customers page, Customer details (Customer information), Reservations report (User and Phone columns), Reservation management (User column), Reservation detail (User data section).
- Permissions: the same ones needed to see that page; no additional permission is required.
- What you get: the detail in clear text instead of Hidden, for the open page only.
- When it is allowed: only for operational purposes related to the event. For invitations, promotions or newsletters use exclusively the customers with marketing consent.
Step by step
- Find the detail. The masked contact appears as Hidden; when you hover over it you read This contact detail is hidden to protect the user's personal data. Click to request access for event-related operational purposes.
- Open the window. Click Hidden. What you see: the Reveal contact detail window with the question Do you confirm that this information is needed exclusively for event-related operational purposes?, the note Only the selected phone number or email address will be revealed. and the Cancel and Confirm and reveal buttons.
- Confirm. Press Confirm and reveal. Result: the value in clear text replaces Hidden in the cell and is no longer clickable until the page is reloaded.
- Use the detail for the operational communication and do not keep it in external lists.
Fields and options
| Element | What it means | Rules |
|---|---|---|
| Hidden | Contact detail (e-mail address or phone number) of a customer without marketing consent. | Each detail is unlocked separately: the e-mail address and the phone number of the same person require two confirmations. |
| Unlock reference | Every Hidden value in the page carries a temporary reference, tied to your session, that the server exchanges for the value in clear text. | It is valid for 10 minutes from the loading of the page, it is used only once and it can be exchanged only by the session that opened the page; at most 300 references are active per session. |
| Cancel | Closes the window without unlocking. | |
| Confirm and reveal | Sends the unlock request. | The value in clear text is never present in the code of the page before the confirmation. |
What happens next
- The unlock is recorded in the system logs with the identifier of the user who performed it and the type of detail (e-mail address or phone number). The reservation and the customer involved are not recorded and there is no audit page in the console.
- If you reload the page the detail goes back to Hidden and a new confirmation is needed.
Messages and errors
| Message | Why it appears | What to do |
|---|---|---|
| The contact detail could not be revealed. Refresh the page and try again. | The reference has expired (more than 10 minutes), it has already been used, it belongs to another session, or masking is switched off at configuration level. | Reload the page and repeat the confirmation. |
| Hidden is not clickable | In the exported files the word is only a text value: there is no unlock in the exports. | Open the detail from the Reservation detail or the Customer details page. |
Special cases
- Exports. In Export CSV and Export PDF the contact details without consent stay the word Hidden in the file as well; in the Export privacy CSV and Export privacy PDF versions the e-mail and phone columns do not exist at all. There is no unlock for the exports.
- Masking switched off. Masking is active by default on the platform; only the Nightify administration can switch it off at configuration level, and in that case the contact details are visible without confirmation.
- Consent changed. The Marketing consent badge reflects the current status of the profile: if the customer gives consent, from the next loading their contact details appear in clear text.
Rules and limits
- One unlock is valid for one single detail, one single time, within 10 minutes from the loading of the page.
- The unlock does not change the consent of the customer and does not authorize promotional communications.
- The organization is responsible for the use of the unlocked data: use it only for the purpose stated in the confirmation.
