The Live events and Past Events lists

The event lists of the organization show registrations, the name with date and location, who created it, status, visibility and views, with filters by name, location, city, date and status, sorting by views or registrations and the row menu with View, Copy link, Edit, Suspend or Enable publication and Duplicate. Columns, filters, statuses and the rules for moving between the two lists.

Live events gathers every event that has not ended yet, whatever its status (drafts, under review, approved, rejected); Past Events gathers the ones whose actual end date has already gone by. From both lists you reach the dashboard, the editor and the quick actions on the event.

At a glance

  • Where: console of the organization, entries Live events and Past Events. The titles are Live events - N results and Past events - N results; at the top right there is Create event.
  • Permissions: View events to open the lists. The Report column requires View event report, the Views column requires View event views; without these permissions the columns and their sorting options do not appear.
  • What you get: the paginated list of the events with status and visibility, filters and sorting, and the action menu for each row.

Step by step

  1. Open the list. From the console choose Live events or Past Events. What you see: the filter bar with the Filter by event name field (placeholder Search by event name...), Search, Back and More filters; below it, the table.
  2. Filter. Under More filters you find Filter by location name (with automatic suggestions), Filter by city name (with suggestions), Filter by date (date of the event), Filter by Status (menu with the statuses) and Sort order with Sort by views and Sort by recordings. Press Search; Back clears everything.
  3. Read the columns. The first column holds the button of the row menu; then Report, Event name, Created by, Status, Visibility and Views. The Report and Views headers are links that sort by registrations and by views respectively.
  4. Open the dashboard. Click the row or choose View in the row menu.
  5. Use the row menu. It contains View, Copy link (if the event has a public address), Edit, Suspend publication or Enable publication (only for approved events) and Duplicate, which asks Do you want to duplicate this event? A new draft event will be created. and confirms with Event duplicated successfully.
  6. Browse the pages. 50 events per page with Page N of M; filters and sorting stay active.

What happens next

  • An event moves from Live events to Past Events according to its actual end date compared with the current time; no action is needed.
  • The actions of the row menu take effect immediately: suspending removes the event from the public without deleting it, duplicating creates a new draft.

Special cases

  • A past event does not appear in Live events: it is in Past Events, where you can still open its dashboard and duplicate it for the next edition.
  • You want to share the report or the public page: Share event, View event page and Share report are in the Options menu of the dashboard, not in the row menu.
  • You want to delete a draft: the Delete draft action is in the status card of the dashboard of the event.
  • Entries only or Promoter: they see the lists, but the Report and Views columns depend on the permissions of the role.

Rules and limits

  • 50 events per page.
  • The lists do not allow approved events to be deleted: the cancellation of a published event is carried out by Nightify on request.
  • The status filter and the sorting are not cleared when you change page.
