Assign access titles to the map elements

Every sector, table or area has to be linked to one or more access titles: from the card of the element in the sidebar of the editor (Assign rate select, chips in Assigned rates) or from the access title with the Map element field. How each type of element sells, the alignment notice between quantity and capacity and the errors at publication.

An element of the map without a rate cannot be bought. The link between element and access title tells the system which price to apply and how many seats that access title can sell. You can do it from the editor or from the page of the access title: the result is the same and the assignment is saved straight away, without a confirmation step.

At a glance

  • Where: in the Edit seating map editor, in the card of the element inside the Areas, Tables and Sections groups of the sidebar; or in the access title, Map element field.

  • What you get: several access titles on the same element (for example Full price and Under 18 on the same sector) and, for each access title, a single linked element.
  • When: before publication; with reservations recorded the map and the assignments can no longer be changed.

Step by step in the editor

  1. Open the card of the element. In the sidebar find the element in the Areas, Tables or Sections group (or select it on the map: the card is highlighted). What you see: in the card the Assigned rates block with a chip for every access title already linked (each one with the x to remove it) and the select labelled Assign rate.
  2. Choose the access title in the select. The first entry, Select a rate, is the placeholder and cannot be selected; the others show the name of the access title followed by the quantity in brackets when it is not infinite. Result: as soon as you choose an entry the assignment is saved and the access title appears among the Assigned rates; the select goes back to the placeholder and no longer offers the access titles already linked to that element.
  3. Align the quantity, if you are asked. What you see: if the quantity of the access title does not match the capacity of the element you get the question The available quantity for the access title "…" (N) differs from the element capacity (M). Do you want to update the ticket quantity? Confirm to bring the quantity up to the capacity of the element, or refuse to keep a lower quantity and sell only part of the seats.
  4. Create a missing access title. If the right access title does not exist press Add new rate: the Access titles management window opens with the creation form and, once saved, the access title is already linked to the element. If no access titles exist the select is replaced by No rates available.
  5. Remove an assignment with the x on the chip: this change is saved straight away too.

Step by step from the access title

  1. In the Add tickets step open the access title with View (or create it from Free / Paid).
  2. In Basic information, next to the quantity, choose the sector, the table or the area in Map element. The field only appears if the map has elements; with a map made of a single general admission area it is hidden and the link is automatic.
  3. Save with Create access type or Update access type.

What happens next

  • The linked access title appears on the event page and on the booking screen like the others; the seat or the area chosen are shown on the ticket of the fan.
  • If you change the capacity of an element (seats of the table, rows and columns, capacity of the area) the editor offers the alignment of the quantity of the linked access titles again.
  • At publication every access title of an event with a map is checked: it must have an element and it cannot sell more seats than the element has.

Messages and errors

Special cases

  • An element does not appear on sale. It has no rates assigned, or the linked access title is Hidden, Sales ended, Sold out or outside the sales period.
  • The access title does not appear in the select. The select only excludes the access titles already assigned to that element: an access title linked to another element stays selectable, because an element can have several access titles. If an access title is missing entirely, it does not exist yet: create it.
  • You want the same access title on two sectors. An access title has a single Map element: create one access title for each sector (for example Stalls Full price and Gallery Full price).

Rules and limits

  • Assignments are saved straight away in the editor, without a confirm button; the only confirmation asked is the one about aligning the quantity.
  • The quantity of an access title cannot exceed the capacity of the linked element, nor the capacity of the event.
  • With reservations recorded the map and the assignments are blocked.
