Step-by-step guide Tickets and access types

Advanced settings: quantity per reservation, waiting list and pre-sale rights

The Advanced settings section limits the tickets per order, turns on the waiting list for the sold out, adds the pre-sale right and the description of the title. What every field does, how the waiting list really works (the fan signs up, everyone on the list is alerted, table in the Reservations report) and the messages the fan sees.

The Advanced settings section of the access title gathers the purchase rules that are not about price and dates: how many tickets per order, what happens when the title runs out, the additional amounts and the descriptive text. It is collapsed by default and opens by itself only if it contains an error.

At a glance

  • Where: Create access type or Edit access type page → Advanced settings section.
  • Permissions: Manage ticketing.
  • The fields: Min quantity per booking, Max quantity per booking, Waiting list, Pre-sale right, Access type description.
  • Default values: minimum 1, maximum 1, waiting list No (Yes on new titles of events with more than 5,000 seats), pre-sale right 0.00, empty description.

Step by step

  1. Open the section. In the title tap Advanced settings. What you see: four fields side by side and, below, the multilingual description.
  2. Set the limits per reservation. In Min quantity per booking and Max quantity per booking write how many tickets of this title a single order can hold: for example 1 and 4 for an admission, 6 and 6 for a table for six. Both start from 1 and accept only integers from 1 up.
  3. Turn on the waiting list if you want to collect requests after the sold out: in Waiting list choose Yes (the items are Yes and No).
  4. Add the pre-sale right in Pre-sale right, a fixed amount per ticket to add to the price. It must be 0 or higher and lower than the price of the ticket.
  5. Write the description. In Access type description explain benefits, what is included and conditions; the language selector next to the label opens the translated versions.
  6. Save with Create access type or Edit access type; for an event already online then press Publish changes.

Fields and options

FieldWhat it meansRules
Min quantity per bookingMinimum number of tickets of this title in an order.Integer from 1 up; otherwise Ensure the minimum quantity is a valid number and at least 1.
Max quantity per bookingMaximum number of tickets of this title in an order.Greater than or equal to the minimum; with SIAE ticketing at most 10. A fan going over the limit sees The requested quantity exceeds the maximum allowed for this access type.
Waiting listLets fans sign up when the title is sold out.Yes/No; offered to the fan only if the title is sold out, the event is published and not cancelled, the booking window is open, sales are not closed, the title is not Hidden and the quota of the channel is not used up.
Pre-sale rightFixed amount per ticket added to the price, which stays with the organizer.0 or higher, lower than the price. The fan sees it as Pre-sale rights in the summary of the reservation and as DDP on the PDF ticket and in the table of titles.
Access type descriptionText shown under the name of the title on the event page and in the booking screen.Optional; one version per language. In SIAE events it cannot contain the word “Ridotto”.

How the waiting list works

  • When the title is sold out the fan sees the Waiting list badge next to SOLD OUT. Tapping it opens the Join the waiting list? window with the text If a ticket becomes available for …, we will email you. You will need to act quickly to secure it. and the Join waiting list button; an account is needed (Log in to join the waiting list.). After signing up you see You are on the waiting list. We will notify you if this access type becomes available. and the fan receives the Sei nella lista d’attesa (you are on the waiting list) e-mail.
  • Every sign-up is worth a fixed quantity of 1; by signing up again the fan adds another unit.
  • When availability comes back (for example you raise the quantity or remove the Sold out) and you republish the event, everyone actively signed up to the title receives the I biglietti sono disponibili (tickets are available) e-mail with the COMPRA I BIGLIETTI (buy the tickets) button at the same time. There is no queue with priority and no offer reserved for the individual: whoever completes the purchase first gets the ticket. The same fan is not sent a second alert for the same title within 30 minutes.
  • In the Reservations report of the event, at the bottom, the Waiting list table (heading with the number of Results) lists User, Phone, Access type, Quantity and Date; e-mail and telephone appear according to the marketing consent of the fan.

Special cases

  • Tables. To sell a table as a whole set minimum and maximum equal to the number of seats.
  • Events with more than 5,000 seats. New titles are created with Waiting list on Yes; you can still set No.
  • Channel quota used up. If the title has a Sales quota per channel and the quota of the fan's channel is finished, the waiting list is not offered even if the title is not entirely sold out.

Rules and limits

  • The limits per reservation of the title add up to the event limits managed by the administration: Maximum selectable access types and Maximum selectable quantity for the event (forced to 10 from events with 1,000 seats up).
  • The pre-sale right is not a Nightify fee: it goes entirely into your takings and does not enter the calculation base of the service fee.
  • The waiting list does not reserve tickets and does not generate individual offers: it alerts everyone signed up at the same moment.
