Limited visibility: access codes, sales channels and quotas

With Limited visibility a title is seen only with an access code or by arriving from an enabled channel (direct sales, members of the organization, tracking channels), with sales quotas per channel. Every field of the Visibility section, what the fan sees in the booking screen, the attempts allowed and all the messages.

The Visibility section of an access title lets you reserve it for a precise group: members, guests, customers of a partner, whoever arrives from the personal link of a member of the organization or from a tracked campaign. The title stays invisible to everyone else until they enter the code or arrive from the right channel.

At a glance

Before you start

  • The available channels depend on the event: Direct Nightify sales (whoever arrives with no parameters in the link), the members of the organization of the event (recognised by the channel= parameter followed by their username in the links they share) and the tracking channels of the event (recognised by channeltracking=). Create the tracking channels first if you want to use them.
  • A code works for one single title of the event: you cannot reuse it on another title.

Step by step

  1. Open the Visibility section of the title and select Limited. What you see: on a new title, the first time you switch to Limited, all the available channels are already selected; if you save it like that, with no code and with the Unlimited quota, the title is recorded as Open, because there is no effective rule.
  2. Set an Access code (optional). In the Access code field (placeholder Enter an access code, for example VIP_2026) write only letters, numbers and underscores, up to 64 characters. What you see: on a title that already has a code you see A code is already configured. Enter a new one only to replace it. and the Remove configured code checkbox; the saved code is never shown in clear text.
  3. Choose the Sales channels. Tap the summary field (it shows 0 channels selected or the number and the names of the chosen channels). What you see: a list with the Search channels search, the Select all and Clear all buttons and the channels grouped: Direct Nightify sales in the Sales channels group, the members of the organization under the name of the organization, the tracking channels in Marketing channels with the “type · tracking” label, and in Other channels any channels no longer available, disabled and marked Channel unavailable. Every group has a checkbox that selects all its items. If no channel exists you see No channels are available for this event.
  4. Set the Sales quota (optional). The section appears only after selecting at least one channel. The items are, in this order, Unlimited, Set limit per channel and Set the same limit for all channels. With the second one you see the Selected channel limits list with one field per channel (placeholder ∞); with the third one the Limit for each channel field. The rule: A quota caps sales for a channel; it does not reserve or randomly distribute seats.
  5. Save the title with Create access type or Edit access type. Result: if every rule is missing you see Configure at least one access code or sales channel. For an event already online submit the changes with Publish changes.

Fields and options

What the fan sees

  • If at least one title of the event has a code, in the booking screen the Limited-access tickets block appears with the text Have an access code? Enter it to unlock reserved offers available to your channel. and the Enter access code button; the Access code field opens (placeholder Enter the code) with the Unlock offers button.
  • With the right code you see Reserved offers unlocked. and the title enters the list; with a wrong code The code is invalid or unavailable for this channel.; after 5 attempts in 15 minutes Too many attempts. Wait a few minutes and try again.; in case of a technical problem The code cannot be verified right now. Please try again later.
  • Whoever arrives from an enabled channel without a code sees the title directly; if they try to buy a title not enabled for their channel they see This access type is not available for the current channel.; if the quota of the channel is used up This channel’s sales quota has been reached.
  • With an active quota the low-stock badge and the availability shown use the lower value between the tickets left of the title and the quota left of the channel; if the quota of the channel is used up not even the waiting list is offered.

Messages and errors

Special cases

  • You change the rules after a fan has already unlocked the title. The unlock lapses: the authorisation compares the fingerprint of the current configuration, so the fan will have to enter the code again.
  • The fan cannot find the code block. The block appears only if at least one title has a code configured; a Hidden title, one outside the sales period or one with Open visibility does not activate it.
  • A member leaves the organization. Their channel ends up in Other channels as Channel unavailable: it stays in the configuration but it can no longer be selected nor recognised.
  • All the channels selected, no code, unlimited quota. It is equivalent to Open and it is saved that way.

Rules and limits

  • At most 5 code attempts every 15 minutes for each buyer.
  • The quota only caps the sales of that channel: it does not reserve seats and does not distribute them between the channels.
  • The visibility rules are per title and do not change the visibility of the event (public, private or password protected), which is set in the Publish step.
