Roles and permissions: what each member can do

Administrator, Promoter, Entrances Only and Limited View: the complete table of the 29 permissions with an indication of which roles have them, what changes in the console menu, in the event editor steps and in the Nightify Business app tabs.

Every member of the organization has a role. The role is a fixed set of permissions that decides which console pages open, what actions are allowed, and what data the Nightify Business app shows. The role is chosen upon invitation and can be changed at any time by Members of the organization; There are no personalized permissions for individual users.

The four roles in summary

  • Administrator: has 28 of the 29 permissions. Manages settings, tax data and IBAN, members, events, ticketing and maps, reservations, entrances, marketing, exports, logs and SIAE report; see messages, notifications and statistics. The only permission he does not have is Receive promoter notifications, reserved for promoters.
  • Promoter: consult events, bookings and their details, statistics, analyses, reports, views and booking metrics; sees Notifications and receives promoter notifications. It has no management permission: it does not modify events, tickets or reservations, it does not scan entrances and it does not see Messages. On the bookings, customers and event statistics pages, the console only shows him the data of his own sales channel: the filter is applied by the pages themselves, not by the role.
  • Entry Only: See the organization, events and booking list of each event and manage admissions (app scanner and console scan tools). Designed for door staff.
  • Limited view: sees the organization and events and can manage entries, without access to the booking list or participant data. Designed for occasional collaborators.

What each permission group controls

What they see in the console and in the app

  • In the console menu only some items are hidden based on permission: customers (View organization booking details), Messages (View organization messages), Notifications (View organization notifications), Event promotion and Promote event (Manage event marketing). All other entries remain visible to every member: when opening a page without the necessary permission, Your user does not have access to this resource.

  • In the Nightify Business app all roles have access to the organization choice, the Events tab and the Profile tab; the scanner tab is Check-in on iPhone and QR Scan on Android. The Messages tab appears only if the role in the selected organization has View organization messages or View organization notifications.
  • A Promoter sees the Messages tab of the app (thanks to notifications) but does not see the Messages page in the console; cannot scan entrances because it does not have Manage accesses and entrances.

Special cases

  • The last Administrator. Cannot be removed or moved to another role: appears You cannot remove the last administrator of the organization. Only an administrator of the Nightify platform can force the operation.
  • Same person in multiple organizations. The role applies to the single organization: you can be Administrator in one and Promoter in another.
  • An additional permit is needed for a Promoter or door staff. It is not possible to add individual permits: the only option is to assign a broader role.

Rules and limits

  • Permissions are assigned only via role; the four roles and their permissions are fixed.
  • Each organization must always have at least one Administrator.
  • The role applies to all surfaces (web console, iPhone and Android apps) with the same rules.
